Donor Retention: 5 Great Questions for Impact Stories

Powerful narratives are the foundation of an effective annual appeal. They showcase your organization's impact in a way that emotionally resonates with supporters.
However, gathering these stories can be challenging, particularly when collaborating with a diverse group of staff, partners, and clients with different strengths and viewpoints.
In five steps, this guide aims to help you not only uncover impactful stories but do so inclusively and easily, acknowledging the unique strengths of each contributor while inspiring your audience— especially your donors. These steps, inspired by best practices in strategy and innovation consulting, will help you create a compelling narrative for your organization.

(1) Targeted Prompts for Impact Stories and Donor Retention

The core idea is to personalize questions based on each contributor's role, enabling them to easily share their diverse perspectives.
  • Question 1: For Staff. Describe a recent client success that exemplifies our mission.
  • Question 2: For Leadership. Highlight a recent organizational achievement that showcases our impact.
  • Question 3: For Customers / Partners. Reflect on a time when our organization significantly influenced your journey.
Offer diverse response options, such as written responses, voice memos, or brief interviews, ensuring natural communication.

(2) Effective Impact Stories for Donor Retention Is in the Follow-up

Stories captivate when they follow a clear arc: challenge, action, and resolution. Incorporate prompts like the following that illuminate these elements, breathing life into each account:
  • Question 4: What specific challenges was the client facing? What did you do? What was the ultimate outcome? Any other reason this particular experience stands out as meaningful to you?
  • Question 5: What numerical data, such as from impact evaluations, do you have to illustrate the extent of our impact? Are there any video, audio, or images you can share?
(Adapt these questions to suit the audience and context of each story, ensuring they resonate with the intended recipients.)
Don’t forget low-hanging fruit! Use existing media to extract powerful segments that enrich your storytelling, enhancing impact through compelling imagery, audio, and video content. Common sources for this media include:
  • your blog
  • social media posts
  • internal wikis

(3) Tailor Impact Stories to Interests for Donor Retention

Identify the issues and themes that spark the most enthusiasm among your key supporters, and tailor your questions accordingly.
You can later segment your audience to deliver personalized messages that speak directly to their interests and motivations, increasing engagement and the likelihood of donations.
For instance, if your "youth education program" is a major draw for significant supporters, you might ask staff: “Can you describe a recent success in our youth education initiative that underscores the impact of donor support?”
